When the spreadsheet stops being enough
Most companies we talk to do not have a business system in any real sense. They have one spreadsheet for customers, another for stock, an inbox full of bookings and one person who holds it all together in their head. That works until that person goes on holiday, an order slips through the cracks, or a customer calls and nobody knows what was promised last time.
The problem is rarely a lack of tools. It is that the tools do not talk to each other. Data gets typed in two or three times, and nobody fully trusts any of the lists.
A good business system does three things:
- One source of truth. Every customer, order and attendee lives in one place, and everyone sees the same data.
- Less manual work. Reminders, confirmations and follow-ups go out automatically.
- Fits the way you work. The system follows your process, not the other way round.
CRM, logistics and event systems
We build three kinds of system, often in combination.
CRM for sales and customer care
A CRM gathers customers, contact history and deals into a sales pipeline. You can see which quotes are waiting for an answer, who needs a follow-up and what was said on the last call. Follow-ups can be automated so no deal is forgotten.
Logistics systems for stock, orders and delivery
A logistics system keeps track of stock levels, order flow and deliveries. For companies with their own vehicles it can also plan routes and delivery windows.
Event systems for registration and tickets
An event system handles sign-ups, tickets, schedules and attendee lists. Attendees get confirmations and reminders, and you get a list that is correct on the day.
How we build custom business systems
We work in short steps so you get value early instead of waiting for a finished all-in-one system.
- Mapping. We go through how you work today: which lists, emails and tools you use, and where time disappears.
- Proposal. You get a description of what to build first, which integrations are needed, and whether an off-the-shelf tool is enough or a custom system is the right route.
- Data migration. We move existing customers, products and history out of spreadsheets and old systems, removing duplicates along the way.
- First version. The part that saves the most time is built and launched first, so you can start using it straight away.
- Integrations. The system is connected to email, accounting and e-commerce so data only has to be entered once.
- Training and handover. You and your team get a walkthrough, and you own the code and the data from day one.
We do not always recommend building your own. Sometimes an existing tool, configured and connected to the rest, is enough. We cover that trade-off in more depth in choosing a website platform.
| Off-the-shelf tool | Custom system |
|---|
| Getting started | Fast | A few weeks for the first version |
| Fit with your process | You adapt to the tool | The tool adapts to you |
| Licence cost | Per user, per month | No licence, you own the code |
| Integrations | Limited to what exists | Built to your needs |
| Best when | Your needs are common | Your workflow is unique or tools fall short |
What drives cost and timeline
We do not publish fixed prices, because two business systems rarely look alike. These are the biggest factors:
- Number of workflows. A sales pipeline is smaller than a chain from order to stock to delivery.
- Integrations. Each connection to accounting, e-commerce or email is its own piece of work, and some services have easier interfaces than others.
- Data quality. Messy data spread across many spreadsheets takes longer to move than a clean export.
- Permissions. More roles and user groups mean more work.
Our prices sit below a typical Swedish agency because development is done by our own team in Vietnam, while you deal with Swedish founders and Swedish-speaking contacts.
After launch: better every month
A business system is never quite finished, because your business keeps changing. So we work in a monthly cycle: build, measure, learn, improve. We see which parts are used and where people get stuck, and prioritise the next improvement from that. Read more about the model in what a managed website is.
The system is built with GDPR in mind from the start: personal data is stored only where it is needed, and access is controlled per role.
A real example
For nyaljusekulla.se, a garden centre in Helsingborg, we built an online store with same-day local delivery and pre-order flows around peaks like Mother’s Day. It shows how orders, delivery and seasonal peaks can run in one flow instead of in separate lists.
Why Almano
We are one partner instead of five vendors. The team that builds your CRM can also handle website development, e-commerce and IT support, so the whole picture fits together. You own everything, can cancel any time and have one contact the whole way. See all our services.
