The problem: IT is whoever knows most about computers
In many small businesses, IT is handled by whoever happens to be most interested. They reset passwords, set up email for new starters and try to work out why the printer stopped, in between their actual job. That works until they go on holiday, leave, or simply run out of time.
Meanwhile the number of tools keeps growing. Email, calendar, accounting, CRM, shared folders, the website, social media and a couple of apps someone bought once. Nobody quite knows who has access to what, which licences you are paying for, or what happens if an account gets compromised.
Good IT support for a business your size is not about a server room. It is about:
- someone answering when something breaks, and either fixing it or telling you honestly what it needs
- a list of accounts, licences and who owns them
- new staff having everything they need on day one, and leavers being locked out the same day
- deciding on new tools with an adviser who is not selling that particular tool
How our small business IT support works
We act as your outsourced IT department. You have one contact at Almano who knows your setup, and behind them sits our development team for anything that needs more than support.
- Kick-off call. We go through how you work today, which tools you use and what gets in the way most. You do not need to prepare anything technical.
- Mapping. We list accounts, licences, domains, devices and who has admin rights. The result is a document that you own.
- Clean-up. We close old accounts, consolidate scattered licences, switch on two-step verification where it is missing and fix whatever is obviously wrong.
- Ongoing support. Your staff get in touch by email, phone or chat. We troubleshoot remotely and follow up until it works.
- Onboarding and offboarding. We write a checklist for people joining and leaving, and run it for you.
- Advice. When you are weighing up a new system, a change of email provider or how to handle personal data, we help you compare the options.
Remote, not on site
We are clear about one thing: all of our IT help is remote. Most of what goes wrong in a modern office is about accounts, cloud services and settings, and that can be solved without anyone driving over. If you need physical help with networking or hardware, we can describe the problem to a local technician and follow up the work, but we do not send our own.
What drives the cost?
We do not publish prices, because two companies with the same headcount can have very different needs. These are the things that matter:
| Factor | Why it matters |
|---|
| Number of users | More people means more requests, accounts and onboardings |
| Number of systems and licences | Every tool has to be understood, kept up to date and documented |
| How organised things are today | A messy start needs more mapping and clean-up in the first months |
| Share of advice | Troubleshooting is one thing, taking part in decisions about new systems is another |
| Languages and countries | Teams across several countries or languages mean more variations to handle |
We can charge less than a typical Nordic IT consultant because development is done by our own team in Nha Trang, Vietnam. Customer contact stays in Swedish or English.
After the start: a monthly cycle, not a project
IT support is never finished. Every month we look at which requests came in, which ones came back and what could be prevented. If the same question comes up three times, we write a short guide or change the setting that causes it.
It is the same way we work on websites and systems: build, measure, learn, improve. If we already run a managed website for you, it sits in the same review, and if you later need your own business system, you already have a contact who knows your setup.
One example of this in practice: for nystarten.se we built a content management system for a 40-page campaign site, and the client now edits everything themselves. A large part of the job was making sure the people using the system could actually use it.
Outsourced IT or your own IT person?
An honest answer: if you have many staff on site and a lot of hardware, your own IT technician or a local IT consultant may be the right call. You get someone who can walk over to the printer.
Remote outsourced IT fits better when you are too small for a full-time role, when your work happens mainly in cloud services, and when you want the same contact for IT, web and digital tools. No more chasing five vendors who blame each other.
You always own your accounts, licences and documentation. There is no lock-in, and you can cancel any time.
